Subcontracts (Digital 2)

Subcontracts (Digital) are a subset of a Contract used to schedule digital media. This is where Reservations are scheduled and Media Sets are associated with each Reservation. There must be at least one Subcontract (Digital) on a Contract in order to schedule digital media. Subcontracts (Digital) are normally added on the Subcontracts (Digital) page of a Contract. However, they can also be added when on a list of Subcontracts (Digital). Right click on the list and select New (need image). Ad Manager will prompt the user to select or create the corresponding Contract on which the Subcontract (DIgital) is to be added (need image).

Details

The Details page of a Subcontract (Digital) shows the basic information about the Subcontract (Digital). (need image). Note: Any instance where any of the fields on this page changes from one Subcontract (Digital), a new Subcontract (Digital) must be created.

Fields

Duration: Enter the duration of this Subcontract (Digital). By default, Ad Manager automatically populates this field with the dates from the Contract. If different, enter the dates.

Brand: Brand information can be entered for an Advertiser with a number of different product lines/departments/promotions/etc.. For example, Advertiser Ford would have brands such as Mustang, Explorer, Taurus and Windstar. Select an existing one or enter new, if not on the list. To enter a new Brand, type the name and in the following window, select the Advertiser name, then click OK.

Market: Select the Market for this Subcontract (Digital). Note: A new Market name can be added here. However, the remaining details of the Market must be completed in the All Markets table under the Other folder prior to scheduling Reservations to the Subcontract (Digital).

Type: Select the Type for this Subcontract (Digital). The four Types are: Sold, Bonus, Public Service and Trade. Note: The default Type for a new Subcontract (Digital) is Sold; change if required.

Segment: Select the Loop Segment for this particular Subcontract (Digital). Note: A new Segment name can be added here. However, the remaining details of the Segment must be completed in the Alll Segments table under the Configuration folder and the Segment must be associated with a Loop prior to scheduling Reservations to the Subcontract (Digital).

Spots: Enter the number of Spots that are to run for this particular Subcontract (Digital).

Spot Length: Enter the length of the Spots to be played for this Subcontract (Digital). This can be entered as the number of :seconds, or as minutes:seconds. NOTE: Ad Manager will auto populate this field with data that was entered in the All Segments table. Users can modify this, if desired. NOTE: If the Segment has been entered with the Booking Mode identified as <Length>, it is important to enter the correct Spot Length in this field. This determines how much time (Length) is still available for sale in the Segment.

Day part: If the Spots of this Subcontract (Digital) were sold for a particular Day part, click the <Day part...> button and select it from the list. (need screen shot). Once selected, the Times pane will display the time frame of the Day part. If no Day part is selected, Ad Manager will display the Times as 24-hour.

Times: Users can add/remove times of day, if no day parts have been entered, or if the ads are to run in mutiple time frames. (need screen shott). Times can also be modified in this frame. The default Time in Ad Manager is that the Spot will play in the Loop for 24 hours (all day). To add times of day, click the blue + symbol and enter the time(s). (need screen shot). The times will display in the Times frame as they are added. As well they will be represented in the visual time editor at the bottom of the window (need screen shot). NOTE: If the Times in the frame above the visual time editor are adjacent to each other, it will display as one bar for the entire time. NOTE: Ad Manager uses a 24-hour clock when entering time and periods of time must be entered accordingly. For example, if the time period is to be from 11:00 a.m. to 5:00 p.m., it will be entered as 11:00 to 17:00. To remove periods of time, click on the red - symbol and enter the time(s). The revised times till display in the Times frame and will be represented in the visual time editor at the bottom of the window (need screen shot) To edit the times entered for a period, select it and click the <Edit Time> button (need screen shot). In the Edit time window, make the modifications and click <OK>. (need screen shot) To delete a time period, select it in the list, and click the <Delete> button at the top right of the frame. Again, the visual time editor will display the deletion at the bottom of the screen

The visual time editor at the bottom of the Subcontract (Digital) page can also be used to edit the time periods. NOTE: It displays the time in 15-minute intervals and for a 24-hour period.

The frame to the right of the Times frame is used to identify which days of the week the Spots on this Subcontract (Digital) are to play. The default in Ad Manager is that the Spots will run all days of the week. (need screen shot) If the Spots are to play only on certain days of the week, uncheck the box beside the days that they will NOT play. (need screen shot)

NOTE: The data entered on the Details page is viewed by Ad Manager to be the "default" for this particular Subcontract (Digital). Users can still modify times/days on any Reservation as required. NOTE: If data is modified to the Times/Days after Reservations have been scheduled to the Subcontract (Digital) it will not affect those Reservations already existing. It will only apply to any new ones added after the data has been modified.

Distribution

The Subcontract (Digital) Distribution Page allows users to set the desired Distribution of Reservations based on established criteria.

There are 2 panes of information, a Factors pane and a Distribution pane. The Factors pane lists all Factors that have been added for use during the scheduling process. When scheduling, Ad Manager considers Factors in the order they appear and will attempt to assign Reservations accordingly. A Factor higher on the list will be matched prior to a Factor lower on the list (which will be treated as a Factor within the higher Factor).

When a Factor is highlighted, the Distribution pane will display a listing of all valid items pertaining to that Factor and the default distribution for the items. Each item can be edited and assigned the desired number of Locations.

The functions available through the buttons immediately above the Distribution pane are:

New add button.JPG- To add a Factor, select the New button and select the Factor to be used to distribute Reservations during the scheduling process.

New delete button.JPG- To delete a Factor, highlight it and click the Delete button. Ad Manager will not use this Distribution Factor when charting (scheduling).

New move up button.JPG- The Move Up button is used to move the highlighted Factor up the list of Factors.

New move down button.JPG- The Move Down button is used to move the highlighted Factor down the list of Factors.

New properties button.JPG- Once a Distribution item is highlighted, the number of Locations to be assigned is changed by clicking the properties button, or by double clicking the Distribution item. Tthe new number of Locations to be assigned can then be added. Ad Manager will not allow users to save the Subcontract (Digital) until the Unassigned value is 0.

Info

The Subcontract (Digital) Info Page displays creation and modification information for this Subcontract (Digital). It displays when the Subcontract (Digital) was Created and the user name who did it, as well as the last Modified On date and and user name. The information is auto-populated by Ad Manager and cannot be edited by users.

Media Items

The Subcontract (Digital) Media Items page displays a list of any Media Items that have been associated with the Reservations of the Subcontract (Digital). (need screen shot)

The page provides details about the Media Item(s) such as Name, when it is to start playing, if it requires approval, the number of reservations associated with it, etc. As with any list, the view can be customized to add/remove columns of data and the list can be ordered as desired.

Users cannot add nor delete Media Items from this page, but can view information about each. Users may double click the Media Item in the list to also view further information. Ad Manager will open the selected Media Item on the Details page, and users may view additional pages for further information. To filter the list of Media Items in order to see a subset list, click the Filter checkbox at the top of the pane. (need screen shot). In the following window enter the criteria for the desired Media Item(s), and click <OK> (need screen shot). Ad Manager will display those Media Items that match the criteria entered. When the Filter is active, a check mark will appear in the filter box. To clear the filter and see all records, click in the checkbox, and in the following window click <Clear>, followed by the <OK> button.

Playback Counts

Playback Counts =

The Subcontract (Digital) Playback Counts page displays information as to how many times a particular Media Item plays on the Players.

The page provides details about the particular Media Item, the Dates it played, Times player per Screen, Player Site information, etc. As with any list, the view can be customized to add/remove columns of data and the list can be ordered as desired. Users cannot add nor modify an item on this page as it is populated from the connection to Content Manager. However, users may delete any item(s) from this list as desired. To filter the list of Playback counts to see a subset list, click the Filter checkbox at the top of the screen. (need screen shot) In the following window enter the criteria for the desired Playback Count(s), and click <OK> (need screen shot). Ad Manager will display those Playback Counts that match the criteria entered. To enter filter criteria based on Reservation and/or Media Item criteria, click the appropriate box and enter the criteria as necessary. When the Filter is active, a check mark will appear in the filter box. To clear the filter and see all records, click the checkbox, and in the following window click <Clear>, followed by the <OK> button.

Playback Summary

The Subcontract (Digital) Playback Summary page displays a summary of the Playback Counts to date for this particular Subcontract (Digital). (need screen shot) Users cannot add, delete nor modify the information displayed on this page. It is populated by information received from the connection to Content Manager and calculations are applied by Ad Manager.

Playlists

The Subcontract (Digital) Playlists page displays a list of all Playlists on which Reservations of the Subcontract (Digital) have been scheduled. (need screen shot)

The page provides details about the Playlists such as From and To dates, Player Name and Output, the number of Contracted Items, if the Playlist(s) has been approved, etc. As with any list, the view can be customized to add/remove columns of data and the list can be ordered as desired. Users cannot add nor delete Playlists from this page, but can view information about each. Users may double click the Playlist in ths list to also view further information. Ad Manager will open the selected Playlist on the page that displays Contracted entries, and users may view additional pages of the Playlist for further information.
