When you wish to upgrade your organization to the latest version of Ad Manager, there are several steps that need to be followed.

Prior to following the steps below, contact Dot2Dot's Client Services team. Dot2Dot will work with you to identify any external reports and utilities that have been created for your company. These will need to be upgraded by Dot2Dot so they will work with the new version.

Steps to complete the Ad Manager upgrade

  1. Ensure all users are out of Ad Manager. The upgrade of the database will fail if there are any users working with Ad Manager. Any external reports, utilities or programs that access Ad Manager must not be used during the upgrade.
  2. Backup both the _bin (attachments and photos database) and non _bin (data) databases.
    1. Ensure that there is sufficient disk space on the SQL server in order to update the databases. You will need to have space equivalent to 2x the size of BOTH the database and _bin database available.
  3. backup user.dat file from the application's Dot2Dot folder
  4. If you have any other Dot2Dot add-in utilities (TAB OOH Ratings, SmartLink, e-Ad Manager Web Portals, Proposal Maker), please uninstall these as well.
  5. Uninstall the Ad Manager client software on all machines.
  6. Install the new version of the Ad Manager client on all machines (you can uninstall and install on the same machine before going to the next one - you do not have to wait until all machines have had the software uninstalled before starting this step). If you do not have Scala Content Manager, leave as the default selection of 10.x
  7. Install the new version of the add-in utilities on the machines as well as appropriate.
  8. Launch Ad Manager on one machine. Select serial number (dongle) and license file when requested. This step can be done as soon as the first machine has been upgraded.
    1. Enter the login credentials for Ad Manager and click OK to log in. NOTE: The person who does this will need system administrative rights within SQL in order to complete the next step. Otherwise, they will get the message that it is not a valid Ad Manager database.
    2. Follow the prompts provided and respond as appropriate. The Wizard will update the database on the first launch of Ad Manager. Once it has completed, it will prompt you to close the wizard. At this point Ad Manager will start.
  9. Once you have successfully launched Ad Manager, you can exit the application.
  10. Launch Ad Manager on all other machines. Select serial number (dongle) and license file if requested.
  11. Replace all copies of existing external executables on your system with the new versions provided.
    1. If any of the reports or utilities have a dll file associated with them, you will need to unregister the old dll file and register the new dll file.
    2. If any of the reports are being run as a scheduled service, you should test the scheduled service by choosing to run now to ensure the service is still functioning properly
  12. Back up the updated databases.
  13. Advise users they can get back into Ad Manager and resume their daily activities. If you have changed the server or the database name, please notify the users of the new details.

Ad Manager now includes a link to the release notes when it installs. The link is located in the Dot 2 Dot Ad Manager Program folder in the Start Menu.
