To set up user access, go to SQL. In SQL, go to the Security folder, right click and choose New->Login.
General Tab
On the General tab, select either Windows authentication or SQL Authentication. If you select Windows authentication, you will need to use the Search button to find the user name. If using SQL authentication, enter a login name and password.
Server Roles Tab
On the Server Roles page, you can control the access each user has. Anyone who needs access to all parts of the software (usually the system administrator and their backup) should have both "public" and "sysadmin" checked on the "Server Roles" page of the Login Properties.
For all other users, ensure that the "Server Roles" is set to "Public" only. If a user is set to "sysadmin", they will have access to all components of Ad Manager, regardless of User Mapping and role membership.
User Mapping Tab
The access users have to specific components of the software is controlled on the User Mapping page. Check the databases this user can access (make sure to check the _bin database as well as the main database). By default, a user has both read and write access to all Ad Manager components. You will need to select which restrictions apply to this user via Database Role Membership.
In the bottom portion of the screen you can identify the Database Role Membership for this user in the highlighted database. For the _bin database, make sure "public" is checked.
For the main database, select the desired limitations to the users access. These roles can be used to restrict access to certain features of the application and should not be modified. The roles are:
- Ad Manager – Contracts – Denied
- Ad Manager – Contracts – Read Only
- Ad Manager – Financial Billing – Denied
- Ad Manager – Financial Billing – Read Only
- Ad Manager – Financial Common – Denied
- Ad Manager – Financial Common – Read Only
- Ad Manager – Financial Leasing – Denied
- Ad Manager – Financial Leasing – Read Only
- Ad Manager – Financial Rates – Denied
- Ad Manager – Financial Rates – Read Only
- Ad Manager – Inventory – Denied
- Ad Manager – Inventory – Read Only
- Ad Manager – Scheduling – Denied
- Ad Manager – Scheduling – Read Only
- Ad Manager – Web Accounts – Denied
- Ad Manager – Web Accounts – Read Only
Below is a brief description of the Ad Manager features the different roles control:
- Contracts: contracts, subcontracts (static & digital) designs, media
- Financial Billing: bill definitions, invoices, revenue allocation (static)
- Financial Common: GL Codes, utility payments
- Financial Leasing: leases, lessors, lease payment schedules, lease payments
- Financial Rates: rate cards, special rates, rate schedules
- Inventory: sites, faces, players, maintenance, maps, indoor maps
- Scheduling: postings, posting tasks, reservations, playlists, values
- Web Accounts: Web Accounts, Web Role, Web Users
Once you have finished adding a user, click OK.
